Terms of Service

These terms govern use of the SchoolDocs website, interactive tools, quotations and document-support services operated by Argentum FZ LLC.

Important summary

SchoolDocs provides information, document-review support and document-related services. Website tools and guidance are not a guarantee of school admission, authority approval, document acceptance, timing or outcome. A service begins only after its scope, price and required information have been confirmed.

1. About these terms

SchoolDocs is operated by Argentum FZ LLC in the United Arab Emirates. In these terms, “SchoolDocs”, “we”, “us” and “our” refer to Argentum FZ LLC in connection with the SchoolDocs website, tools, quotations and services.

By using the website or requesting a service, you agree to these terms and the Privacy Policy. Additional written terms may apply to a quotation, order, partner arrangement, payment link or specific service. If there is a conflict, the more specific written terms agreed for the service will apply to that service.

2. Eligibility and authority

The website and services are intended for adults. By submitting information or placing an order, you confirm that:

  • you are at least 18 years old and legally able to enter into an agreement;
  • the information provided is accurate and not misleading;
  • you are authorised to act for the child, document holder, school or organisation concerned; and
  • you have a lawful basis to provide any personal information or document copy submitted.

A child should not create an enquiry or submit personal information directly through SchoolDocs.

3. Website tools and general information

SchoolDocs Passport, the school-age checker, guides, checklists, games and other website content are provided for general information and planning.

Tool outputs may be based on the answers entered, programmed rules and information available at the time. They may not reflect every school policy, authority decision, exceptional circumstance or later change.

Website tools do not provide legal advice, immigration advice, educational placement advice or a binding determination by a school, government authority or document-issuing body.

4. Our services

Depending on availability and the confirmed quotation, SchoolDocs may provide or coordinate services such as:

  • document review and journey guidance;
  • document attestation and legalisation support;
  • UAE Ministry of Foreign Affairs processing support;
  • apostille assistance;
  • legal or certified translation coordination;
  • equivalency document and application assistance;
  • Transfer Certificate and school-record guidance;
  • courier, collection or delivery coordination; and
  • other related administrative services agreed in writing.

We may use qualified third-party providers or authorities to perform part of a service. SchoolDocs remains responsible only for the scope it has agreed to provide.

5. Your responsibilities

You are responsible for:

  • providing complete, accurate and current information;
  • reviewing names, dates, spellings, document details and translations before approval;
  • responding promptly to requests for clarification or additional documents;
  • confirming final requirements with the receiving school or authority;
  • ensuring that documents are genuine, lawful and authorised for use;
  • keeping copies of all documents and correspondence;
  • paying agreed charges when due; and
  • informing us immediately if circumstances or requirements change.

We are not responsible for delay, rejection or additional cost caused by incomplete, inaccurate, late or misleading information supplied by the user or another person acting on the user’s behalf.

6. Documents, copies and originals

Do not send an original document until our team confirms the required submission and delivery method. You remain responsible for keeping your own copies.

We may refuse or suspend work where a document appears altered, fraudulent, unlawfully obtained, inconsistent or unsuitable for the requested process. We may also request further identification, authority or supporting evidence.

Reasonable care will be taken when handling documents, but users should recognise that original documents may need to be handled by couriers, authorities and external providers outside our direct control.

7. Quotations, prices and external charges

A quotation is based on the information available at the time and is valid for the period stated in the quotation. If no validity period is stated, contact the team before making a later payment.

Prices may include or exclude government fees, embassy fees, verification fees, courier charges, translation costs, taxes, payment-processing charges and other third-party costs. The quotation or order confirmation will identify the known scope.

Additional charges may apply if the document route changes, the information was incomplete, a third party changes its fees, an urgent service is requested or additional work becomes necessary. We will seek approval before carrying out material additional paid work where reasonably possible.

8. Payment and service commencement

Payment must be made using an approved payment method and in the currency stated. A service may not begin until cleared payment, required information and requested documents have been received.

Payment providers may apply their own verification, authentication and security procedures. SchoolDocs does not control a bank, card-issuer or payment provider’s approval decision.

Where required by applicable law or the transaction, an invoice or payment record will be supplied electronically.

9. Cancellation, changes and refunds

Contact us promptly if you wish to cancel or change a service. Whether a refund is available depends on the service stage, work already completed, costs already committed and applicable consumer law.

To the extent permitted by law, the following may be non-refundable once incurred or ordered:

  • government, embassy, authority and verification fees;
  • courier, collection and delivery charges;
  • translation or other customised work already started or completed;
  • payment-processing costs that are not returned to us; and
  • fees paid to third-party providers for the requested service.

If SchoolDocs cannot provide the agreed service for reasons within its control, we will discuss an appropriate remedy, replacement service or refund for the unperformed portion, subject to applicable law and costs already properly incurred.

10. Timelines and third-party processing

Any completion date or processing time is an estimate unless we expressly agree otherwise in writing. Timelines may be affected by authorities, embassies, schools, issuing bodies, verification providers, public holidays, courier networks and requests for additional information.

We will use reasonable efforts to keep the user informed of material changes, but we cannot guarantee third-party processing times.

11. Collection, delivery and risk

Collection and delivery arrangements will be confirmed for the service. The user must provide a complete and accurate delivery address and ensure that an authorised person is available to receive documents.

Risk associated with courier handling may be subject to the courier’s own terms, limits and claims process. Report any missing, damaged or incorrectly delivered item as soon as reasonably possible so that the matter can be investigated.

12. School, authority and third-party decisions

Final admission, equivalency, attestation, legalisation, translation acceptance and document-recognition decisions are made by the relevant school, authority, embassy, issuing body or other third party.

SchoolDocs does not guarantee:

  • school admission or placement;
  • acceptance of a document by a school or authority;
  • approval of an equivalency or other application;
  • completion by a particular date;
  • that requirements will remain unchanged; or
  • a particular decision by any independent third party.

13. Acceptable use

You must not:

  • use the website or services for fraud, deception or unlawful activity;
  • submit a forged, altered, stolen or unauthorised document;
  • attempt to gain unauthorised access to systems, accounts or data;
  • interfere with website operation, security or other users;
  • copy, scrape, reverse engineer or commercially exploit a tool without permission;
  • upload malicious code or harmful content; or
  • misrepresent a SchoolDocs output as an official school or authority decision.

14. Intellectual property

The SchoolDocs name, branding, website design, written content, software, tools, workflows, graphics and other materials are owned by or licensed to Argentum FZ LLC unless stated otherwise.

Users may access website materials for personal or internal educational-administration purposes. No ownership rights are transferred, and materials may not be reproduced, sold, licensed or adapted for commercial use without written permission.

15. Disclaimers and limitation of liability

To the maximum extent permitted by law, SchoolDocs is not liable for indirect, incidental, special or consequential loss, loss of opportunity, loss of profit, reputational loss or loss caused by an independent school, authority, courier, payment provider or other third party.

To the maximum extent permitted by law, our total liability arising from a paid service will not exceed the amount paid to SchoolDocs for the specific service giving rise to the claim.

Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability for fraud, fraudulent misrepresentation, or death or personal injury caused by negligence where applicable.

Mandatory consumer rights under applicable law remain unaffected.

16. Events outside our reasonable control

We are not responsible for delay or failure caused by events outside our reasonable control, including government action, authority closure, system outage, cyber incident, transport disruption, courier failure, extreme weather, public emergency, labour dispute, war or a change in legal or documentary requirements.

17. Suspension or termination

We may refuse, suspend or terminate access to a service where reasonably necessary because of non-payment, suspected fraud, unlawful conduct, security risk, abusive behaviour, missing information, unsuitable documents or breach of these terms.

Termination does not affect rights, fees or obligations that arose before termination.

18. Governing law and disputes

These terms are governed by the laws of the United Arab Emirates, subject to any mandatory consumer protection or other rights that apply to the user.

The parties should first attempt to resolve a complaint by contacting SchoolDocs. If a dispute cannot be resolved, it may be submitted to the competent courts or another forum required by applicable law.

19. Changes to these terms

We may update these terms to reflect changes in services, systems, law or business practices. The latest version will be published on this page with an updated date.

Terms in force when a specific order was accepted will generally continue to apply to that order unless a change is required by law or agreed with the user.
