4. Children’s information

SchoolDocs services are intended to be used by adults, including parents, legal guardians and authorised school representatives. Children should not submit their own information directly through the website.

When you provide information about a child, you confirm that you have parental responsibility, legal authority or another valid basis to provide it for the requested purpose.

We aim to collect only the child information reasonably needed to understand the school-document journey or provide the requested service. We do not use children’s information for behavioural advertising.

SchoolDocs tools provide guidance to the adult user. They do not make school-admission decisions or decisions that produce legal effects for a child.

5. How we use personal information

We may use information to:

  • operate the website and interactive tools;
  • review a child’s school-document journey;
  • respond to enquiries and provide customer support;
  • prepare, issue and manage quotations and orders;
  • provide attestation, apostille, translation, equivalency or related services;
  • coordinate couriers, translators, processing partners and authorities where required;
  • process payments and maintain financial records;
  • prevent fraud, misuse, security incidents and unauthorised access;
  • improve our services, website and user experience;
  • send service communications and, where permitted, relevant marketing;
  • meet legal, regulatory, tax, accounting and compliance requirements; and
  • establish, exercise or defend legal claims.

6. Legal bases for processing

The legal basis depends on the information, purpose and applicable law. We may process information where:

  • it is necessary to take steps at your request or perform a contract;
  • you have given consent for a specific purpose;
  • processing is required to comply with a legal obligation;
  • processing is necessary for our legitimate business interests and does not override the individual’s rights; or
  • another basis is available under applicable data-protection law.

Where we rely on consent, it may be withdrawn at any time. Withdrawal does not affect processing already carried out lawfully.

7. When we share information

We may share relevant information with carefully selected recipients where necessary for the purposes described in this policy, including:

  • authorised SchoolDocs and Argentum personnel;
  • document-processing, attestation and verification partners;
  • translators, couriers and logistics providers;
  • payment processors, banks and accounting providers;
  • website hosting, form, email, CRM, analytics and security providers;
  • professional advisers, auditors and insurers;
  • government departments, embassies, authorities, courts or law-enforcement bodies where required; and
  • a buyer, investor or successor if the business is reorganised, subject to appropriate safeguards.

We do not sell personal information. Service providers are expected to use information only for the authorised purpose and protect it appropriately.

8. International data transfers

SchoolDocs supports international document journeys. Personal information may therefore be processed in the UAE, the United Kingdom or another country where a relevant service provider, authority or processing partner is located.

Where applicable law requires safeguards for an international transfer, we will use an appropriate lawful mechanism or other permitted protection.

9. How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose collected, including service delivery, customer support, legal obligations, accounting, dispute handling and security.

Retention periods vary according to the type of record, the service provided and applicable legal requirements. When information is no longer required, we take reasonable steps to delete, anonymise or securely dispose of it.

Document copies may need to be retained while a service, query, complaint or legal requirement remains active. Users should keep their own copies of all important documents.

10. Security

We use reasonable administrative, organisational and technical measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

No website, email or data-transmission method is completely secure. Users should avoid sending unnecessary sensitive information through ordinary email and follow any secure-upload instructions provided by our team.

11. Cookies and website technologies

The website may use cookies and similar technologies to maintain essential functionality, remember preferences, protect forms, understand website usage and support marketing where permitted.

Non-essential analytics or advertising cookies should be used only in accordance with the choices presented through the website’s cookie controls. Browser settings may also be used to block or delete cookies, although some features may then work differently.

12. Your privacy rights

Depending on your location and the law that applies, you may have rights to:

  • request access to personal information;
  • request correction of inaccurate or incomplete information;
  • request deletion in certain circumstances;
  • request restriction of processing;
  • object to certain processing;
  • withdraw consent;
  • request data portability where applicable; and
  • complain to an appropriate data-protection or regulatory authority.

We may need to verify identity and authority before responding, particularly where a request concerns a child or another person. Some rights are subject to legal exceptions and retention obligations.

13. Rule-based and automated guidance

SchoolDocs Passport and similar tools may use the answers provided to display rule-based guidance, document lists or service recommendations.

These outputs are informational starting points. They do not make a binding decision about school admission, legal status, authority acceptance or service eligibility. A manual review may be required before any quotation or service route is confirmed.

15. Changes to this policy

We may update this policy to reflect changes in services, systems, legal requirements or business practices. The revised version will be published on this page with an updated date.
